Job Overview:

 

The Senior Logistics Coordinator will perform all necessary Import-Export freight coordination including Domestic transportation for all methods and modes of conveyance. They will liaise with warehouses and facilitate rework activities as well as fix EDI IDOC errors, system and carrier tracking, customs coordination. Daily activities will include file creation/completion, issuing in-transit reports, dispersement and usage, compiling import/export documentation for presentation and performing required transactions in SAP.  Ensure procedure and process compliance, work directly with both internal and external customers to optimize the distribution channel, manage and interact with our 3rd party providers including warehouses, carriers and custom brokers. The candidate will be a key contributor to the Toronto LogisticsTeam.

 

Job Responsibilities:

 

Category 1- Inbound-Outbound Ocean Transportation

 

  • Manage and coordinate daily activities relating to import-export of ocean, truck and airfreight shipments from Asia to NAFTA region DC’s including domestic trans-border shipments within NAFTA region for inter-company stock movements.
  • Create weekly in-transit reports, confirm shipment availability in system, track on time delivery, manage completion of commercial document set and present to Customs broker for pre-clearance; track and confirm warehouse receipt of product for inventory update in system.
  • Manage and work with all carriers, modes and interact with NAFTA warehouse locations for on time receipt, pick, pack and shipment of outbound customer orders.
  • Perform all related transactions in SAP R3 covering warehouse receiving, shipping and inventory. Ensure each file is completely closed with confirmation of inventory receipt both physically and in SAP system plus payment of any applicable service, freight, customs invoices.

 

Category 2 – Airfreight Management

 

  • Perform all activities related to import-export of time sensitive, urgent product via airfreight.  Track and Trace to-from warehouse for physical and system shipment-receipt. Including file creation and closure upon receipt confirmation.
  • Coordinate inter-company stock transfer exports to global locations including all transport arrangement, EDI processing, documentation creation and tracking-tracing to delivery.
  • Liaison between airfreight carrier, warehouse and customs broker to ensure timely clearance and receipt, provide business with daily updates of in-transit for airfreight.
  • Ensure all EDI messages have been processed to/and from warehouse to facilitate expedited receipt on system.
  • Provide month end reporting to Manager on Airfreight activities; costs, quote VS actual, product, volumes, carrier/warehouse performance, etc.

 

Category 3 – Trans-border and Domestic Transfers

 

  • Work and Collaborate with Operations Planning, warehouses and carriers to coordinate re-positioning of product including processing of EDI messages and creation of customs documentation.
  • Work directly with warehouse and carriers to ensure correct equipment based on load, build consolidation where required, collaborate with Planning Team to plan and ensure required ETA date is met.  
  • Manage and ensure on time delivery of transfers, measure warehouse and carrier performance including rate benchmarking and accuracy.
  • Review for accuracy, process and approve all freight, brokerage invoices pertaining to the warehouse transfer – minimum of 24 hours after invoice receipt.
  • Provide month end reporting to Manager on activity, costing, volumes, on-time performance of carrier/warehouse etc.

 

Category 4 – Warehouse Management

 

  • Collaborate with NAFTA warehouses in quoting Reworks, including quick quote turnaround, system transactions and ensure timely rework completion, execution and follow up.
  • Work with warehouse to ensure on time receipt and export shipping where required and maintain regular dialogue on operational items.
  • Supply warehouse regular, complete and accurate master data information for new items and answer all general operational questions.
  • Provide month end reporting to Manager on rework activity and costing.   

 

Category 5 – Miscellaneous – Daily Functions, Tasks

 

  • Daily review of OTD reporting tools to identify delays, issues & potential problems.
  • Use system B/I reporting tools to measure and report Actual VS. Planned vessel OTD, warehouse receipt and performance.
  • Always be willing to help, assist fellow team members when required.
  • Mandatory weekly attendance for scheduled conference calls with carriers and/or warehouse(s) – required to Chair periodically.
  • Mandatory weekly reconciliation, approval of freight, customs brokerage and logistics related invoices; on-time processing of departmental invoices.
  • Mandatory month end activity and cost reporting for modes handled (ie Ocean, Airfreight, LTL/FTL).
  • Perform logistics analysis, initiate and assist in identifying process improvements, cost cutting, savings opportunities for company.
  • Maintain department IOP-SOP including all updates and process improvement, changes.
  • Provide back up vacation coverage and lead the annual archiving of files-documentation.

 

 

 

Job Requirements

Qualifications:

 

  • University Degree and/or College Diploma  with 4-5 years experience in Supply Chain / Inbound-Outbound Logistics
  • Experience in Import-Export processes, procedures & liaising with warehouse
  • Professional Designation (CITT or P.Log) would be an asset
  • Proficiency in MS Office suite and SAP R3 experience would be an asset
  • Good communication (verbal and written) and problem solving skills
  • Possess the ability to handle multiple priorities and a wide variety of tasks to meet deadlines, all with a sense of urgency
  • Self motivated and willingness to get involved, help the customer, help a fellow team member and maintain a “Can Do” attitude.
  • Attention to detail, excellent organization and time management skills required
  • Could work well independently and in a team environment
  • Sense of humour, light hearted and great attitude
  • Willingness to travel, and an average 10% per year
