The Job:

Reporting to the Manager, North American Payroll, the Payroll Administrator is responsible for all aspects of the US payroll including payroll entry, execution and reporting. The Payroll Administrator will maintain HR data in Spin Master’s HRIS systems and support the annual incentive compensation program, produce regular i.e., monthly, quarterly, or annual HR/payroll reports and adhoc reporting, and manage special projects that support Spin Master’s HR strategies.  The Payroll Administrator will partner with stakeholders i.e. finance, or accounting, acting as a key liaison to support accurate financial reporting.

  • Enter bi-weekly payroll for US employees
  • Process off cycle and additional special pay runs
  • Process manual adjustments as necessary including tax adjustments and severance payments
  • Accountable for timely and accurate payroll
  • Organize, manage, coordinate, and execute necessary administrative activity involving the maintenance and updating of personnel records deemed vital for payroll
  • Independently identify and resolve payroll errors
  • Complete bi-weekly audits on payroll
  • Prepare, reconcile, accrue, audit and fund 401K contributions
  • Identify opportunities to improve payroll process and work with ADP COS (Canada) and the HR team to implement changes
  • Respond to internal and external inquiries in a timely manner including basic technical inquiries (such as password resets)
  • Quarterly audit of paid time off accruals
  • Filing of W-2s and all other year end activities
  • Maintain and submit garnishments to third party agencies
  • Prepare and maintain GL entry upload for accounting
  • Process year-end bonus accurately through payroll
  • Shadow payroll maintenance

Reporting

  • Prepare and analyze monthly payroll reports
  • Verify payroll reports to ensure accuracy and maintain audit trails for all changes.
  • Prepare documents for year-end auditing by internal and external auditors

You should apply if you have the following:

  • University Degree, preferably in the area of finance or business administration
  • Minimum 2 years of experience with US payroll
  • Strong knowledge of California and New York payroll laws/legislation and experience processing payroll for both states
  • Experience with Canadian Payroll is a strong asset
  • High level of attention to detail
  • Ability to independently research and resolve payroll related inquiries
  • Ability to set priorities, meet deadlines, and handle a high volume of work
  • Intermediate Microsoft Office skills particularly in Excel
  • Experience in using the following systems: ADP Pay@work, ADP People@work, ADP Small Business Arm, Workday, Ceridian Dayforce
  • Strong data management and time management skills
  • Ability to research and analyze various types of data information, system/technical proficiency, and the ability to continuously improve.
  • Ability to data mine/analyze and display information
  • Ability to organize and prioritize work, as well as making recommendations to effectively resolve problems or issues that are consistent with standards, practices, procedures, and regulations
  • This position requires professionalism, excellent verbal and writing skills, judgment, tact, diplomacy, insight, strong analytical ability, and well developed administrative, organizational and communication skills
