Job Description

General:

The job purpose of this position is to provide administrative duties to ensure the office runs smoothly, manage daily activities and be the first point of contact for all visitors.

The Office assistant is, above all, an organized and competent professional with great organizational and communication skills, comfortable dealing with people and able to carry out administrative duties with accuracy and speed.

The goal is to ensure that office operations are efficient and add maximum value to the organization.

Specific Responsibilities:

  • Have full control of the office environment to ensure maximum efficiency of the workplace
  • Do daily spot checks, manage regular upkeep and make sure all deficiencies are rectified ASAP
  • Manage meeting rooms – check bookings, ensure they are clean and orderly and all equipment is working properly
  • Coordinate larger meetings for internal and external visitors, organize meeting materials, catering if needed, transport arrangements etc.
  • Assists in organization of office and corporate events
  • Support to all visitors (external and internal)
  • Oversee property management services, including maintenance of building and order proper janitorial supplies and work
  • Responsible for incoming and outgoing mail/packages
  • Monitor office supplies inventory and place orders
  • Monitor kitchen cleanliness, supply stock, coffee machines
  • Filing duties as needed
  • Keep office clean and organized and make sure all Health & Safety requirements and procedures are followed
  • Greet and welcome visitors and usher them to given contact person or meeting room
  • Other duties as assigned by Manager

Job Requirements

Required Skill Set:

  • Good knowledge of MS Office
  • Working knowledge of office equipment
  • Excellent communication and interpersonal skills, service oriented
  • Organized with the ability to prioritize and multi-task
  • Reliable, with patience and professional attitude
  • Attention to Detail; Highly Motivated; Excellent Time Management Skills; Fast learner
  • Decision Making Skills
  • Ability to Work Under Pressure
  • Ability to Work Well Without Supervision
  • Fluent English is a must

Required Qualifications & Experience:

  • High school diploma or higher education
  • Prior experience as admin assistant or in a similar role
