Job Description:

The role:

The Executive Assistant will support a senior Executive in a fast-paced position that requires a flawless work ethic as well as being able to juggle a multitude of complex projects. The ideal candidate is an independent thinker who can make good judgments and manage unpredictable situations. The candidate must be well organized, very efficient, extremely resourceful, and have an adaptable and positive service attitude. Candidate should be highly flexible and have the ability to work independently with minimal supervision.

What can we expect from you:

  • Manage executive's calendar, schedule appointments and ensure executive is on time
  • Arrange complex travel and accommodations, compile documents for travel-related meetings
  • Assist in management of the team including vacation requests, expenses and other approvals
  • Prepare all materials for executive in advance of meetings, presentations
  • Perform clerical duties such as filing, typing, and copying documents
  •  Organize files and maintain contact database
  •  Screen and respond to incoming calls and correspondence
  •  Ability to work with other assistants closely to manage the executive
  •  Act as custodian of corporate documents and records
  •  Act as direct liaison with vendors/customers/partners
  •  Occasional personal errands as requested
  •  Additional duties as assigned
  • Extensive present and forward-looking calendar management
  • Preparation of all materials in advance of meetings and presentations
  • Expense reporting/management for CFO, Senior Finance Team and Board Members
  • Assisting in the management of the Senior Finance Team
  • Managing, compiling and distributing Board and Audit Committee material every quarter
  • Overseeing the Board and Audit Committee meetings every quarter – including managing the catering for the day
  • Event Management: AGM, Global Senior Finance Team Summits, Ad hoc Finance Events, Board dinners, New York Toy Fair
  • Managing/coordinating yearly team performance reviews in person and in Workday
  • Responsible for planning and project managing annual industry events, corporate conferences, investor road shows and investor meetings/days, including the Annual General Meeting of Shareholders and Investor Day at the New York Toy Fair
  • Assisting in the preparation and updating of investor presentations, including an entire overhaul once a year for the New York Toy Fair
  • Assisting in preparation of the Annual Report and Business Segment Report
  • Maintaining database of shareholder activities in IRWIN
  • Communicating with analysts/investors to schedule meetings and calls

Who’s a good fit for this role:

  • Someone with good organizational, time management and project coordination skills
  • An individual with the ability to handle multiple tasks simultaneously, prioritize high volume workload and meet strict deadlines for tasks/assignments
  • Good attention to detail and follow-through skills
  • A team player, works well with others, able to delegate effectively
  • Someone with demonstrated good judgment, ability to deal with confidential and sensitive issues
  • Flexible; excited about supporting various unpredictable projects and schedules
  • Strong oral and written communication skills

You should apply if you have the following:

  • Must have supported a CFO in a public company

  • Minimum 5 years administration experience; at least 2 years supporting VP level or above
  • Proficient with MS Office (Word, PowerPoint and Excel) and Outlook
