The Job:

The Executive Assistant/HR Analyst supports a senior Executive in a fast-paced position that requires multi-tasking to organize and coordinate a variety of complex projects. This role requires the ability to think independently and use sound judgement to manage unpredictable situations. In addition to providing executive assistance, the job involves Inputting and analyzing data in the organization's human resources information system (HRIS) and compiling data to review and update organizational charts.

  • Manage executive's calendar, schedule appointments and ensure executive is on time
  • Arrange complex travel and accommodations, compile documents for travel-related meetings
  • Prepare all materials for executive in advance of meetings, presentations
  • Perform clerical duties such as filing, typing, and copying documents
  • Organize files and maintain contact database
  • Screen and respond to incoming calls and correspondence
  • Ability to work with other assistants closely to manage the executive
  • Act as custodian of corporate documents and records
  • Act as direct liaison with vendors/customers/partners
  • Occasional personal errands as requested Additional duties as assigned
  • Complete monthly expense reconciliation, credit card and out of pocket expenses plus assist in the management of team vacation requests and expense approvals.

HR Analytics:

 Provide support developing, analyzing, and updating the annual HR's budget

  • Provide support to attendance administrators so that accurate attendance records are maintained
  • Prepare monthly headcount and payroll reports
  • Maintain and update the organizational chart data within HRIS system
  • Report on monthly HR scorecards for detailed headcount, turnover, and employee information
  • Maintain the integrity of HRIS system through maintenance of data entry guidelines, regular audits, and security checks
  • Provide day-to-day end user support and training to Global HR administrators
  • Process, maintain and ensure accuracy of all Corporate employee data in required data sources and personnel files including but not limited to HRIS, payroll and benefits databases
  • Develop HRIS reports as required and assist in the development of presentations {Global HR Meeting, Board Meeting)
  • Partner with the Senior HRIS Analyst/Manager on various projects, as required

Job Requirements

  • Must be highly resourceful and flexible and have the ability to work independently with minimal supervision.
  • Flexible; excited about supporting various unpredictable projects and schedules

 You should apply if you have the following:

  • Undergraduate degree/diploma and minimum 5 years administration; at least 2 years supporting VP level or above
  • Proficient t with MS Office (Word, PowerPoint and Excel) and Outlook
  • Experience compiling complex data and creating accurate report s.
  • Experience with Workday and/or other HRIS systems.
  • Financial background or exposure to Financial industry is preferred
