Job Overview:

The Contract Administrator role performs administrative tasks related to content development, production, services, and sales contracts as required by various team members within SME. Tasks will include pre-contract and post-contract activities and performance of data entry tasks to ensure coordination of the contracting and accounts payable and accounts receivable process within SME as well as with Spin Master. The position is a full-time position located in Toronto, Ontario and currently reports directly to the VP Operations & Legal for SME. The position will work closely with the Manager of Business Affairs, SME as well as with Spin Master’s Finance and Accounting divisions, also located in Toronto.


Job Responsibilities:


  • Maintain and update various departmental contract flow charts and status reports
  • Prepare and circulate internal summaries of various contracts to inform departments of key deal terms
  • Responsible for obtaining signatures on contracts
  • Ensure contract execution is in accordance with Spin Master’s corporate policies and track the progress of all agreements
  • Responsible for setting up new vendors within Spin Master’s S.A.P. system and/or Aviva Legal
  • Manage payments of invoices
  • Work directly with Manager of Business Affairs to update and maintain a tracking system for: various contract expiration dates; contract precedents; payments to third parties and payments from third parties to SME
  • File all contracts (drafts and fully executed contracts) on SME’s network and/or cloud based data asset management system –
  • Create and maintain a file management system for both hard and electronic copies of all development, production and exploitation agreements, and all other relevant contracts
  • Update internal documents and rights management system to capture, among other things, start/end dates of rights, duration of rights, rights’ details, linear and digital rights for each project and for each licensee
  • Circulate, on a quarterly basis and as otherwise needed, internal royalty rights’ reports and accounts receivable
  • Review all agreements and deal memos for quality control/quality assurance of contract terms
  • Circulate alerts on a timely basis regarding the status of rights and obligations for each project and for all talent
  • Draft various development and production contracts, amendments, notification letters and union documents as required
  • Complete and file Canadian and US copyright applications for each SME project
  • Preparing remittance forms for unions/guilds including ACTRA, WGC, WGA
  • Manage IP and licensing/royalty collections including retransmission rights royalties
  • Work in very close cooperation and collaboration with the Manager of Business Affairs and the Manager of Accounting

Job Requirements


  • An undergraduate university or college degree or diploma
  • [3-5] years’ direct experience in contracts administration and rights management in intellectual property rights – experience in film and television production is a bonus
  • Strong attention to detail
  • Excellent communication skills, both verbally and in writing, internally and externally
  • High degree of accuracy and attention to detail
  • Ability to work in a fast paced environment and under pressure with tight deadlines
  • Ability to meet deadlines and set own priorities
  • Good organizational, time management and prioritizing skills
  • Proactive, motivated, resourceful and exercises good judgment
  • Proficiency with Microsoft Office Suite
  • Familiarity with S.A.P. and/or Aviva Legal is an asset
