Job Overview:

Be responsible for reception & administration arrangement. Provide the daily admin service to ensure the facilities are equipped with the supplies and services needed and promote and deliver a safe and accessible work environment. 

Job Responsibilities:

  • Assist the supervisor to follow up office administration and ensure operations run smoothly, including information and data processing, office supply, cleaning, wellness, office maintenance, visitor procedure, travel arrangement, expat work permit etc.
  • Assist the supervisor to supervise office cleaners, and their tasks to ensure office operating orderly.
  • Assist the supervisor on renovation projects, facilities management, security & access control, etc.
  • Assist the supervisor on the 5S and Spin Safe programs to maintain a safe and pleasant working environment.
  • Be responsible for all express delivery, and follow up the express delivery’s status and receivable time. Handle the express delivery problems of all samples and make sure all samples are sent out and received in a safe and fast way.
  • Be responsible for all samples receiving, and inform staff of samples arrangement.
  • Be responsible for the purchasing of office daily suppliers and stationary. Check the officer daily suppliers and stationary in the end of every month, and purchase accordingly. Make sure enough inventories of daily suppliers and stationary.
  • Answer internal/external phone calls; guiding visitors and make the proper arrangement.
  • Update staff contact list regularly. Arrange and order the name card for staffs.
  • Provide administrative support to non-local staff for all legal paper and housing issue.
  • Provide administrative support to other entities as requested.
  • Prepare and check all office administration payments being accurate and reasonable.
  • Follow office regular maintenance, and make sure to resume normal use as soon as possible.
  • Actively support, arrange and coordinate company events/staff activities.
  • Perform and complete other additional project, duties, and assignments as required and/or by request.


Job Requirements


  • College degree or above.
  • 1-2 years’ experience of office administration or clerical support.
  • Open-minded, service-oriented, initiative, be able to work under pressure.
  • Good computer knowledge (Microsoft Word, Excel, PPT etc.), proficient in Photoshop is an advantage.
  • Good inter-person and communication skills.
  • Good command of English and Mandarin.
