The Job:

The Administrative Assistant, Finance and Legal role will support SME’s Business Affairs, Legal, and Finance teams by performing support and administrative tasks. This is a fast-paced position that requires a diligent work ethic, the ability to juggle multiple tasks, strong memory and quick recall, and an ability to independently exercise sound and reasonable judgment. The position is full-time in Toronto, Ontario and reports directly to the Sr. Director of Finance, Entertainment and the Head of Legal and Business Affairs, Entertainment. The position will work closely with all members of the Business Affairs,  Legal and Finance teams.

  • Manage Outlook Calendars for the Sr. Director of Finance, Entertainment and the Head of Legal and Business Affairs Entertainment, schedule meetings and calls, and ensure on-time attendance
  • Act as direct liaison with vendors/customers/partners including writer’s agents, lawyers, accountants and animation studios in Toronto, Vancouver, and Los Angeles
  • Act as direct liaison with SME’s Production Coordinators, the Executive Assistant to VP Production, VP Development and Creative Director, and the Executive Assistant to EVP, Entertainment
  • Updating SME’s Business Affairs & Finance Meeting Agenda on a weekly basis
  • Perform clerical duties such as printing/copying/scanning, managing team members’ vacation requests, maintain Outlook Contacts, admin correspondence, digital and paper file administration, and assist with report & presentation building in excel or PowerPoint,  
  • Arrange and book conferences, travel, accommodations and submit expense reports
  • Coordinate with IT for service requests and troubleshooting
  • Additional duties as may be assigned

Job Requirements

What we can expect from you:

  • Demonstrates good judgment and ability to deal with very confidential and sensitive information
  • Flexible and excited about supporting various unpredictable projects and schedules
  • Ability to handle multiple tasks simultaneously, prioritize high volume of workload and meet (and sometimes set) strict deadlines for tasks
  • High degree of accuracy and attention to detail (especially in written communications) and impressive follow-through on varied tasks and assignments
  • Comfortable with data entry online and revising documents
  • Some knowledge of the Canadian and global entertainment industry, including television and/or film is a benefit, but not a necessity
  • Familiarity with SAP (including Fiori and Concur), BOX and ContractWorks is an asset, but not a necessity

  • Someone who is self-motivated but also able to work well in a team
  • An individual with good organizational, time management and prioritizing skills
  • Strong oral and written communication skills

  • Post-secondary education (diploma, certificate, undergraduate degree)
  • Minimum 3 years’ direct administrative and support experience in a fast-paced environment
  • Highly proficient with MS Office (Word, Excel, PowerPoint, and Outlook)
