Role: Logistics Coordinator/Administrator


Reporting to the Logistics Director, the Logistics Coordinator performs all necessary Import, Export and Domestic Transportation activities including Customs Clearance coordination for all method and modes of transport. This includes all system and carrier tracking, customs coordination, confirmation and related activities for the movement of goods into the NAFTA region and for trans-border shipments. Daily activities will include file creation/completion, in-transit report creation, disbursement and usage, compiling import/export documentation for presentation, performing required transactions in SAP, working directly with internal customers, our warehouses, carriers and custom brokers. The candidate will be a key contributor to the Toronto Logistics Team.


Key Responsibilities:


Category 1- Inbound Ocean Transportation Management

  • Administer and coordinate daily activities relating to importation of ocean and airfreight shipments from Asia to NAFTA region DC’s including domestic trans-border shipments within NAFTA region for inter-company stock movements.
  • Create weekly in-transit reports, confirm shipment availability in system, track on time delivery, manage completion of commercial document set and present to Customs for pre-clearance; track and confirm warehouse receipt of product for inventory update.
  • Manage and work with all carriers, modes and interact with NAFTA warehouse locations for on time receipt, pick, pack and shipment of outbound customer orders.
  • Perform all related transactions in SAP R3 covering warehouse receiving, shipping and inventory. Ensure each file is completely closed with confirmation of inventory receipt both physically and in SAP system plus payment of any applicable service, freight, customs invoices.


Category 2 – Airfreight Management

  • Perform all activities related to importation of time sensitive, urgent product via airfreight.       Track and Trace into warehouse for physical and system receipt. Including file creation and closure upon receipt confirmation.
  • Liaison between airfreight carrier, warehouse and customs broker to ensure timely clearance and receipt, provide business with daily updates of in-transit for airfreight.
  • Ensure all EDI messages have been processed to/and from warehouse to facilitate expedited receipt on system.
  • Provide month end reporting to Manager on Airfreight activities; costs, quote VS actual, product, volumes, carrier/warehouse performance, etc.


Category 3 – Trans-border Warehouse Transfer Management

  • Work and Collaborate with Operations Planning, warehouses and carriers to coordinate re-positioning of product including processing of EDI messages, selecting carrier and creation of customs documentation.
  • Work directly with warehouse and carriers to ensure correct equipment based on load, build consolidation where required, collaborate with Planning Team to plan and ensure required ETA date is met.
  • Manage and ensure on time delivery of transfers, measure warehouse and carrier performance including rate benchmarking and accuracy.
  • Review for accuracy, process and approve all freight, brokerage invoices pertaining to the warehouse transfer – minimum of 24 hours after invoice receipt.
  • Provide month end reporting to Manager on activity, costing, volumes, on-time performance of carrier/warehouse etc.


Category 4 – Miscellaneous – Daily Functions, Tasks

  • Always be willing to help, assist fellow team members when required.
  • Mandatory weekly attendance for scheduled conference calls with carriers and/or warehouse(s).
  • Mandatory weekly reconciliation, approval of freight, customs brokerage and logistics related invoices; on-time processing of departmental invoices.
  • Mandatory month end activity and cost reporting for modes handled (ie Ocean, Airfreight, LTL/FTL).
  • Perform logistics analysis, initiate and assist in identifying process improvements, cost cutting, savings opportunities for company.

  • On-time delivery (STO).
  • On-time warehouse performance management (Receipt, Pick, Pack, Ship, EDI).
  • Information, documentation, reporting and shipment accuracy.
  • Manage; ensure on-time delivery and receipt of product into warehouse(s) including measuring carrier performance at each milestone to DC door.
  • Demonstrate clear understanding of tasks, expectations, open approach to learning, proactively engaging, servicing internal and external customers while maintaining a customer one willingness to help.
  • Accuracy of SAP transactions performed in system, on time EDI to warehouse, documentation compilation and presentation to broker to ensure there are no delays.
  • Responsiveness, Sense of URGENCY, can-do attitude, flexibility to changing demands and ability to multi-task in a fast paced environment are key characteristics of the successful candidate!


Skills & Experience Requirements


  • 3-4 Years of relevant industry experience
  • University Degree and/or College Diploma Preferred
  • Professional Designation (CITT or P.Log) would be an asset
  • Specific job related qualifications
  • Computer skills (Proficiency in MS, Word, Excel, Powerpoint)
  • SAP R3 experience preferred
  • Above average verbal, written, communication and problem solving skills
  • Possess the ability to handle multiple priorities and a wide variety of tasks to meet deadlines, all with a sense of urgency
  • Clearly show a willingness to get involved, help the customer, help a fellow team member and maintain a “Can Do” attitude.
  • Superior Organization and Time Management Skills required
  • Work well alone or with others
  • Sense of humour, light hearted and great attitude
